How does SAP calculate and post depreciation?

Depreciation spreads depreciable value across useful life according to accounting, tax, and management valuation rules.

How SAP controls it

Depreciation keys, useful life, methods, period control, depreciation areas, ledgers, and posting runs determine amounts.

Example

The productive machine begins straight-line book depreciation from its capitalization date.

PRACTICAL DECISION

Explain the planned amount before posting it

Depreciation is a period calculation based on the asset value, depreciation key, useful life, start date, and the rules of each depreciation area. Different accounting views may legitimately produce different amounts.

FOLLOW THE EVIDENCE

How to work through this capability

01BASE

Check the depreciable value

Review acquisition and subsequent-value postings, residual value, and any partial retirement. A wrong cost basis cannot be corrected by simply changing the monthly rate.

02TIME

Check the period rule

Confirm the asset value date, capitalization date, useful life, and period-control method. An apparently missing first month may come from the start rule rather than a failed run.

03POST

Reconcile the run

Compare planned depreciation with the posted run, investigate errors or skipped assets, then tie asset balances and depreciation expense to the ledger for the reporting period.

CHECK THE RESULT

What evidence should agree?

RECONCILE

Keep the asset master history, value transactions, planned values by depreciation area, run log, posting document, and ledger reconciliation together. When an amount changes, identify which input changed and whether prior periods need an approved correction.

WATCH FOR

Do not edit useful life solely to force an expected monthly number. Establish the policy decision, correct the owning asset data, and rerun the calculation with an auditable explanation.
