ASSET PROCESS · PROTECT

How are physical condition and financial value connected?

Maintenance plans, notifications, orders, costs, and technical history protect asset availability while Finance tracks carrying value.

How SAP controls it

Equipment and functional-location structures, maintenance strategies, task lists, cost settlement, and asset assignment connect the views.

Example

A preventive maintenance order records labor and parts against the packaging machine’s equipment record.

PRACTICAL DECISION

Keep the physical record and financial record connected

An equipment or functional-location record describes the thing operations maintains. The fixed-asset record describes financial ownership and value. Their relationship must be traceable, but they serve different purposes.

FOLLOW THE EVIDENCE

How to work through this capability

01LOCATE

Identify the equipment in service

Confirm the technical object, installation location, responsible team, warranty, and maintenance strategy. Link it to the relevant asset assignment where the design requires one.

02EXECUTE

Record the work

Use notifications and maintenance orders to document the fault, labor, parts, dates, completion, and cost receiver. The order history should explain what happened physically.

03CLASSIFY

Decide the cost treatment

Routine repair normally remains an expense; a qualifying enhancement may follow a controlled capitalization path. Finance and operations should agree on the treatment before settlement.

CHECK THE RESULT

What evidence should agree?

RECONCILE

Compare the equipment history, order costs, settlement result, asset master, and capital approval. A location change or equipment replacement may need both technical updates and an asset-accounting review; one record should not silently stand in for the other.

WATCH FOR

Replacing a major component does not automatically create a new fixed asset. Check the accounting policy and asset structure, then preserve the work-order evidence supporting the decision.
